Terms of service

These terms apply when a school ("the school", "you") uses Kilasi, including the web system, the Kilasi app and the school website. By using Kilasi, the school agrees to them. The person accepting them confirms that they are allowed to do so for the school.

1. The service

Kilasi provides online software for school management: records, academics, report cards, fees, attendance, communication, a parent portal, the app and a school website. We may improve and change features over time; we will not remove a main feature a school is paying for during a paid period without telling you first.

2. Accounts

• The school is responsible for who it gives access to, and for the roles it gives them.
• Each user must have their own login and keep their password private.
• Tell us straight away if you think an account has been misused.

3. The school's data

The school owns the data it enters and is responsible for having the right to collect and use it, including parents' consent where needed. We process it only to provide Kilasi, as described in our privacy policy. The school may export its lists at any time.

4. Acceptable use

Do not use Kilasi to send spam or unlawful messages, to upload harmful content, to try to reach another school's data, or to disrupt the service. We may suspend an account that does.

5. Fees and payment

• Subscriptions are priced by the number of learners and paid per term or per year, as shown on our pricing page or agreed in writing.
• SMS messages are charged separately at the rates shown in Kilasi.
• If payment is late, we may limit the school's access after giving notice. Data is not deleted because of a late payment.

6. School websites

The school is responsible for what it publishes on its website, including photos of learners, for which it should have parents' permission. We may remove content that is unlawful or harmful.

7. Availability and support

We work to keep Kilasi available at all times, but there may be interruptions for maintenance or for reasons outside our control, such as internet or power outages. We provide support by phone, WhatsApp and email during working hours.

8. Liability

Kilasi is provided with reasonable skill and care. The school should check results, such as report cards and fees balances, before relying on them. As far as the law allows, our total liability for any claim is limited to the fees the school paid in the twelve months before the claim, and we are not liable for indirect losses.

9. Ending the service

The school may stop using Kilasi at the end of any paid period. We may end the service for a serious breach of these terms. After the service ends, the school has a reasonable period to export its data before it is deleted.

10. General

These terms are governed by the laws of Uganda. We may update them and will tell schools about important changes in advance. Questions: contact us or email [email protected].
